One-Click Time-Off Approvals in Slack for Your Caspio App
Employees ask for time off in a Caspio app. Managers approve it in Slack with one click, and the AI checks the team calendar for conflicts first. Here is how we built it with n8n.

You have a Caspio app. Employees submit time-off requests there. So far so good.
Then a manager has to log in (maybe today, maybe next week), open the request, open another page to see who else is out at the same time, and approve or deny. Nothing terrible. Just tedious. And dead boring.
What we built
Now the manager gets a Slack message the moment a request comes in. It contains a short conflict analysis and two buttons: Approve and Deny.
One click, and the record in the Caspio app updates in about three seconds. No login. No second page. And the decision is not buried in chat, because the full history stays in the app.
Rei walks through the whole flow in the video above, also available on YouTube.
The demo, including a conflict
The first request is easy. No conflicts, so the manager clicks Approve. We go back to the Caspio app, refresh the page, and it is approved. That took about three seconds.
The second one is more interesting. Chuck asks for a one-week vacation in April. This time the agent finds a conflict: Hanson is on unpaid leave until May 31. The manager sees that right in Slack and can make an informed decision. Sorry, Chuck.
How it is built
The whole flow runs on n8n, an integration platform that Caspio supports out of the box. Step by step:
- An employee submits a time-off request in the Caspio app. A new record appears.
- Caspio sends a webhook to n8n.
- n8n pulls the team's absences and asks the AI to check for conflicts and write a short summary.
- n8n turns that into a Slack message with Approve and Deny buttons.
- The manager clicks a button. Slack tells n8n.
- n8n updates the record in Caspio through the REST API. Done.
Best of both worlds: one-click approvals in Slack, and clean, complete records in Caspio.
Not just time off
The same pattern works for any approval: expenses, discounts, document sign-offs, purchase requests. If your process has a pending record and a yes-or-no decision, it fits.
Your company lives in Microsoft Teams instead of Slack? It works there too.
