Brief Me: AI Call Prep Inside a Caspio CRM

A follow-up reminder pops up and you have no idea what you talked about three months ago. We added an AI chat to a Caspio CRM that reads the whole client history and writes your briefing in seconds.

You get a reminder to follow up with a lead. And you have no clue what you talked about. It was three months ago.

So you open the client card in your CRM. Fourteen emails. Three call transcripts. Five tasks with comments. Seven notes. That is an hour of reading, just to send one message.

Most of us skip the reading and send the classic: "Hey! Just circling back." Circling back to what, exactly?

What we built

We added an AI chat to a Caspio CRM. You type two words: "Brief me." Sophisticated, I know.

The chat reads everything on the client card and returns a short briefing: who the client is, what you discussed, where the deal stands, and what changed since you last talked.

It writes the follow-up too

A summary is nice, but you still need to write that message. So you ask the chat to help with the follow-up.

It drafts one based on your client's actual history. Not generic AI text, but suggestions grounded in what really happened in the deal. Tweak the prompts a bit and it will even sound like you.

How it works

The chat is our Aigentic Chat, embedded in the CRM as a DataPage or a data part. When you ask for a briefing, it pulls the records linked to that client (emails, transcripts, tasks, notes) straight from your Caspio tables, and the model turns them into a structured summary.

The prompts decide what goes into the briefing: deal stage, open questions, risks, talking points. That part is fully in your control.

It runs on the cloud you choose (AWS, Azure, Google Cloud, or your own servers), and your team does not need a separate AI license for every user.

Why not just paste it into ChatGPT?

You could. But that means copying fourteen emails and three transcripts out of your CRM, one by one, into another tool. Every time. And your client's data ends up in an app you do not control.

With the chat inside the CRM there is no copy-pasting, and the data stays in your stack.
